Property Inventories

 

District Property Inventories

The district will maintain an inventory of all fixed assets in accordance with Generally Accepted Accounting Practices (G.A.A.P.) and Governmental Accounting Standards Board, Statement 34. The district's inventory will be updated annually to include property newly purchased and disposed. A professional appraisal may also be done periodically.

Fixed assets include all district-owned property such as land, buildings, improvements to property other than buildings (i.e. parking lots, athletic fields, playgrounds, etc.) and equipment with a value greater than $5,000 as defined by the Program Budget and Accounting Manual published by the Oregon Department of Education.

Other district supplies with a single item value greater that $1,000 will be included as part of the district's annual inventory. Current records shall be maintained for the receipt, distribution/disposal and inventory of commodity foods as required by federal law.

 

Reporting Damage or Loss of District Equipment

When items are damaged, lost, stolen, or traded-in, a memo will be sent to the district office immediately, stating the type of equipment, brand name, model number, serial, and estimated purchase price.

Reports of stolen items must state that the police were notified as soon as the theft was discovered and whether or not the area was broken into.

 

Reporting Vandalism of District Property

The building principal or his designated representative; will be responsible to immediately report vandalism to the police to be followed by a written report to the business supervisor including:

1. Extent of damage;

2. Time of discovery;

3. Time reported to the police;

4. Action taken; and

5. Clues or results of the police investigation.

Pursuant to OAR 581-022-005 students guilty of vandalism of school property, or private property on district premises or during a school activity, are liable to discipline, suspension, or expulsion. The juvenile court will be asked to obtain restitution.

In the case of school buildings outside the Madras city limits, reports are made to the Jefferson County Sheriff's Office or the Warm Springs Police Department.
